2. Information we may collect about you
Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).
We may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:
- Identity Data includes: first name, last name, username or similar identifier, marital status, title, date of birth and gender.
- Contact Data includes: billing address, delivery address, email address and telephone numbers.
- Financial Data includes: bank account and payment card details.
- Transaction Data includes: details about payments to and from you and other details of products and services you have purchased from us.

We do not collect any Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health, and genetic and biometric data). Nor do we collect any information about criminal convictions and offences.

For customers and prospective customers: this includes personal data you provide when you:
- make contact with us to request a quotation or other information about our products and services;
- place an order with us for yourself or on behalf of someone else;
- create an account on our website;
- subscribe to our newsletter;
- request marketing to be sent to you;
- subscribe to our ‘stay in touch’ sign up option;

4. How we use your personal data

We have set out below, in a table format, a description of all the ways we plan to use your personal data, and which of the legal bases we rely on to do so. We have also identified what our legitimate interests are where appropriate.

We may use your Identity, Contact, Technical, Usage and Profile Data to form a view on what we think you may want or need, or what may be of interest to you. This is how we decide which products, services and offers may be relevant for you.

5. Disclosures of your personal data
We may share your personal data with the parties set out below for the purposes set out in the table above.
Where a courier is based outside the UK, their processing of your personal data will involve a transfer of data outside the UK. Whenever we transfer your personal data out of the UK, we ensure a similar degree of protection is afforded to it by ensuring at least one of the following safeguards is implemented:
- We will only transfer your personal data to countries that have been deemed to provide an adequate level of protection for personal data.
- Where we use certain service providers, we may use specific contracts approved for use in the UK which give personal data the same protection it has in the UK.

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.
We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.
9. Data retention
How long will you use my personal data for?
We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements. We may retain your personal data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation in respect to our relationship with you.
To determine the appropriate retention period for personal data, we consider the amount, nature and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal, regulatory, tax, accounting or other requirements.
Subject to the above, we have made the decision to keep personal data for 3 years.

10. Your rights:
Under certain circumstances, you have the following rights under data protection laws in relation to your personal data:

No fee usually required
You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we could refuse to comply with your request in these circumstances.
What we may need from you
We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.
Time Limit to respond
We try to respond to all legitimate requests within one month. Occasionally it could take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
12. Job Applicant Privacy Notice
The Draper Tools Group has a legitimate interest in processing personal data during the recruitment process and for keeping records of the process. Processing data from job applicants allows us to manage the recruitment process, assess and confirm a candidate’s suitability for employment and assist with deciding who to offer a position to. We may also need to process data from job applicants to respond to and defend against legal claims.
Your information may be shared internally within the Draper Group for the purposes of the recruitment exercise. This includes members of the HR department, interviewers involved in the recruitment process, Managers in the business area or company with a vacancy and IT staff if access to data is necessary for the performance of their roles. Your data will not be shared with any third parties unless there is a requirement to do so during the recruitment process; we will obtain further consent from you if that is the case. The Draper Group currently consists of Draper Tools Limited and Avalla Limited.
If your application is unsuccessful, the Draper Tools Group may keep your personal data on file in case there are future employment opportunities for you which you may be suited. We will securely hold your data on file for six months after the end of the relevant recruitment process. At the end of that period, or once you withdraw your consent, your data will be deleted and confidentially destroyed.
If your application is successful, personal data gathered during the recruitment process will be transferred to your Human Resources file (electronic and paper based) and retained during your employment. The periods for which your data will be held will be provided to you in a new privacy notice.
As a data subject, you have several rights. You can:
- Access and obtain a copy of your data on request
- Require the organisation to change incorrect or incomplete data
- Require the organisation to delete or stop processing your data
You are under no statutory or contractual obligation to provide data to Draper Tools Limited during the recruitment process. However, if you do not provide the information, we may not be able to process your application properly or at all.
